Booking/unbooking of a meeting and room in Outlook
How to book and unbook rooms and meetings using Outlook
- The booking has to be done in your personal calendar in Outlook.
- Even if you try to make a booking in the calendar of the room it will be done in your personal calendar.
- If you need to remove the booking it has to be done in your personal calendar in Outlook..
Open Outlook and click on Calendar.
Doubleclick at the time you want your meeting.
Type the subject of the meeting.
Click on "Scheduling Assistant".
Click on the "Add Attendees..." button.
Type the name in the search field and then mark the name in the list. Click on the "Required ->" button and then at OK.
If you want to add a room, click on the "Add Rooms..." button.
Mark the room you want to add and click on the "Rooms ->" button. Then click OK.
A colored field, with or without text inside, will show when the participant or the room is occupied with other appointments (until 12:00 in this example). If that is the case you can chose another date or time.
If the invitation looks as you want it, just click on "Send".
Cancel a booking
Cancel the booking of a meeting in your personal calendar.
