Who does what within educational support?

It can be tricky to understand which matters fall under the remit of the education administrator and what the case officer does. Here, we explain who does what at the ITM School’s Education Office.

Education Officers

  • Responsible for and manages the curriculum for all programmes
  • Responsible for and manages the academic calendar for all programmes
  • Handles all decisions regarding the establishment and modification of courses and course syllabuses
  • Handles the appointment/review of examiners
  • Schedules course sessions
  • Admission to the latter part of programmes
  • Handles and prepares all decisions regarding credit transfers
  • Support for the SR function
  • Support for programme coordinators
  • Ensures that all formalities are complied with

Education Administrators

  • Managing course runs in the course database (Ladok)
  • Admissions to STEM courses and certain KTH language courses
  • Eligibility checks; assessment of academic merit for certain courses and programmes
  • Course registration
  • Coordinating timetable planning
  • Re-evaluation of grades
  • Placement for work-based learning (VFU)
  • Publication of degree projects (TRITA & DIVA)
  • Reporting of results
  • Coordination of examinations for study abroad
  • Service and support for teachers

Student counsellors

  • Admission to new courses within programmes, e.g. students who have forgotten to apply for a course or are taking optional courses
  • Study planning with students
  • Supporting documentation for admissions regarding assessment of specific entry requirements
  • Assessment of specific entry requirements for applied-for courses and Master’s programmes
  • Admission to Master’s degree theses
  • Applications for exemptions to commence Master’s degree theses
  • Timetable documentation for programme activities from the office
  • Information sessions on specific entry requirements, specialisation choices, applications for Master’s programmes and courses
  • Updating the Master’s catalogue
  • Study breaks and interruptions
  • Roll call, queries, reserve admissions, lists of admitted students and withdrawals
  • Posting information on the programme’s Canvas page for all students

International Coordinators

  • Student Support UT: Guiding students preparing to study abroad, managing application processes at KTH and partner universities, calculating credits, certificates, exchange placements in Ladok, credit recognition, language certificates, letters of recommendation, etc.
  • Incoming students: The application process: from application until the student arrives at KTH; support with practical matters: course admission, registration, course changes, accommodation, insurance, etc.
  • DD/Incoming interns: see above for incoming students; similar to DD. Tripartite agreements, registration in Ladok, Mecenat, insurance, etc.
  • Academic coordination: Collaborate with programme coordinators to ensure credit recognition and effective study plans; programme management meetings.
  • Management of exchange agreements: Establish, administer and evaluate agreements with foreign higher education institutions.
  • Marketing and recruitment: Attend information sessions, fairs and webinars to inform KTH students about opportunities abroad.
  • Networking: Participate in various networks and groups at KTH. Represent the university at international conferences and build relationships with international partners during visits here at KTH and at partner universities

Manages and administers all stages of doctoral students’ education:

  • Admission

  • Admission, registration and reporting of courses
  • Revision of syllabuses
  • Appointment/revision of examiners
  • Establishment of new courses
  • Credit transfers
