Correct Personnel Data in KTH’s IT Systems
KTH is now adapting to the way Swedish authorities manage personnel data. This means that employees’ names must match the information registered with the Swedish Tax Agency (Skatteverket). Below you can see the reason for this and how to proceed if you wish to update your name with Skatteverket.
The initiative is a collaboration between the HR department and the programme Secure Identity and Access Management at KTH, and will be implemented in June 2026.
Reasons for the Change
This is being done to ensure that personnel data in KTH’s systems matches the information on a person’s ID card, based on the following aspects:

A prerequisite for performing ID verifications

During 2026 it will become a requirement with correct personnel data for access to KTH’s entry systems and facilities
User perspective

Correct information in KTH’s systems ensures proper transfer of data to other authorities, for example information needed for correct tax deductions
Resource efficiency

Fewer exceptions to administer and maintain across KTH’s various systems
Continuous Updates from Skatteverket
Starting on 18 June 2026, continuous synchronization with Skatteverket will take place. This means that:

Employees’ correct first and last names will be displayed in KTH’s systems, for example: the profile page, payslip, staff directory, when logged in with a KTH account, as sender and recipient names in email, etc.

The information on an employee in Skatteverket’s population register will automatically be reflected in KTH’s systems. Employees will no longer need to administer changes in KTH’s systems, for example to ensure the correct tax rate.

KTH will no longer be able to manually change these details.
Changing Name Information with Skatteverket
Employees who are affected by changes to their first or last names will receive an email informing them that the information in KTH-HR differs from what is registered with Skatteverket. If they wish to keep the differing information, they must contact Skatteverket as soon as possible to ensure that any change is processed before 11 June 2026.
Employees whose registered home address differs from Skatteverket’s records will not receive an email about this, as it is not possible to identify which individuals are affected.
Due to Skatteverket’s processing times, any changes must be reported immediately. Any additional costs that may arise are the responsibility of the individual.

If you want to check your information, you can do so in KTH-HR. Go to My Employment, where you will see your name. Click on the row if you also want to view your address and other details.

If you are unsure about your registered name information, log in to Skatteverket . If you see more names listed there than your given name and surname, you can choose your preferred given name here: Namn | Skatteverket . On the same page, you can apply for any name changes.
