Standardisation of the KTH.se Email Domain to a Unified Domain
The need to standardise KTH’s email domain is driven by several factors. The main ones being increased security and resource efficiency, but also clearer guidelines for users.
Currently, there are many subdomains under kth.se that require extensive resources to monitor, maintain, and administer. Overall, this is resource-intensive, but above all, the large number of subdomains pose security risks, as identity theft and intrusion attempts which are serious threats to both KTH’s digital infrastructure and its users.
To prevent and counter these threats, user activity across email domains must be monitored. At present, it is neither feasible nor reliable to monitor behavior across a large number of different email domains. Therefore, KTH needs to limit the number of subdomains to as few as possible to monitor effectively.
By reducing the number of subdomains from the current slightly over 100 to just a few, costs for monitoring, maintenance, and administration will be significantly reduced, in line with KTH’s overarching goal of efficient and sustainable resource use.
Reducing the number of subdomains will also enable necessary transitions, such as the migration to Exchange Online (Autumn 2026). In the long term, this change will also mean phasing out login to services using the @ug.kth.se address.
For users, the change means a unified naming standard for all KTH email addresses which will simplify communication between users within KTH. A practical example is when inviting users to collaborative spaces such as OneDrive, where email aliases are not available as an option.
In addition, the domain name @kth.se clearly indicates that KTH is the sender of the email.
What Will Happen
Just over 100 subdomains will be gradually phased out. A small number of subdomains will be exempt from this process, primarily those linked to external collaborations, such as THS and Vetenskapens Hus.
Current Steps
-
From June 11, 2026, the use of so-called email aliases (i.e. username@xxx.kth.se and firstname.lastname@xxx.kth.se) will be discontinued. Affected users will receive direct email informing them that their sender address will automatically change to username@kth.se, and that during a transition period of two years they will still be able to receive email sent to their old email alias.
-
From October 2025, addresses for overarching functions must follow the format function-school@kth.se.
Planned Steps
-
Phase out existing functional addresses in the format xxx@xxx.kth.se
-
Establish a KTH-wide structure for naming local and central functional addresses
-
Review subdomains that are currently not included
-
Clarify to all users that KTH email should not be used for private purposes
