Work with an action plan as Head of Department, PA, GA or FA

As a Head of Department, Programme Director or Director of First and Second or Third Cycle Education, you can access the course evaluation and course analysis system to view all action plans for your department, programme or school. If you want to initiate an action plan, you do so via the course list. As Head of Department, you can also, if necessary, discontinue the work on an action plan.

Access to the system

If you hold a role such as Head of Department, Programme Director or Director of First and Second Cycle Education, you work with action plans in the course evaluation and course analysis system, which you can most easily access via “Course Evaluation and Course Analysis (Survey & Report)” in the Services menu.

Action plan view: Find, view and export

To view all action plans, click on "Kungliga Tekniska Högskolan" on the left-hand side and then select “Action plans”. Here you can see all action plans you have access to. The “Action plan” column shows the status of each action plan. On the far right of each row, there are two icons: one to open the action plan and one to export it. The icon used to open the action plan varies depending on its status.

Go to action plan. Click the button to open a window with an action plan that has been initiated and is therefore still being edited by the course coordinator.

View action plan. Click the button to open a window with an action plan that is closed for editing, meaning it has either been finalised or discontinued.

Export action plan to pdf. Click the button to export the action plan as a PDF. The exported document shows the status of the action plan through a watermark.

Export multiple action plans

From the action plan view, you can export selected action plans. First, select the action plans you want to export (click the checkbox at the far left of the top row to select all). Then choose how you want to export them:

Export action plans to Excel. Collects the action plans, including actions, in a single Excel file.

Pdf symbol

Export action plans to PDF. Exports the action plans to a ZIP file containing one PDF per action plan.

Initiate an action plan manually

To initiate an action plan manually, you need to locate the course in the course list. Click on "Kungliga Tekniska Högskolan" on the right-hand side and then select "Courses". Search for the course and go to the buttons on the far right.

Initiate action plan. Click the button to initiate the action plan (it turns green when you hover over the row). A dialog will appear asking you to confirm that you want to initiate the action plan.

Once the action plan has been initiated, the course will display an icon to open the action plan and it will also be accessible under “Action plans”. An email notification about the initiated work will be sent to the following roles: Course coordinator(s), authorised survey users, examiner, Programme Director, and Head of Department.

Note: Only the Head of Department and Programme Director can initiate an action plan from the course list.

Head of Department: Cancel work on an action plan

If you, as Head of Department, need to discontinue work on an action plan, open the action plan as described above. Click the "Cancel action plan" button on the far left of the window. You will then be asked to provide a reason for discontinuing the action plan, after which you can click "OK". The course coordinator will receive an email notification that the action plan has been discontinued, including the stated reason.
