KLARA - web-based chemical management system

KTH uses the chemical management system KLARA. KTH's users register all their chemical products in KLARA. All chemical products are inventoried annually. KTH's employees and students can search for information about chemicals via KLARA's product register. At the schools and within the administration, there are KLARA administrators who manage access to the system.

About KLARA

KLARA is a tool for helping us work safely with chemical products. Safety information about individual products is collected in a database in KLARA.

The KLARA System

The KLARA system makes it possible to perform product searches, extract chemical lists, organize storage locations, inventory chemical stocks, perform and manage risk assessments, store CMR examinations, monitor permits, manage KLARA accounts and authorizations, extract chemical lists based on various criteria, view statistics, write out labels and more.

In addition to the listed basic functions in KLARA, there are so-called add-on modules. KTH has access to a structure search, barcode and modules available through order request.

Manuals for administrators, inventory takers, risk assessments as well as barcode scanners and order requests are available depending on access level given in KLARA.

The KLARA Database

The KLARA database provides quick access to concise risk information about each entered chemical product and whether the product is subject to legal regulations that must be followed. Additional information about the product's properties, protective measures, waste management and more can be found in the safety data sheet that is included with the product in the database.

Products are searched via the product register. For information about different search paths, read the "Search Tips" that appear when the product registry is opened. The product register is searchable even when not logged in. The device used (computer, mobile phone) needs to have an approved IP address for the search function to work.

The database is owned and administered by the KLARA Economic Association. The association's 27 members (universities and regions, 2023), all help to register chemicals and quality-assure the information in the database.

Management plan KLARA

KTH’s management plan for KLARA is drawn up annually. It contains information on how the system is administered, describes functions and groups, and specifies competency requirements. Additionally, it contains goals concerning chemical usage linked to KLARA and gives information regarding measures and activities that should be carried out in KLARA in order to comply with current legislation.

Each school and UA has one or more KLARA administrators. Your school's KLARA administrator is the first person you turn to with questions concerning KLARA.

The Annual Inventorying of Chemicals

According to the Work Environment Authority of Sweden (2011:19), all sources of risk must be identified and listed. All chemicals products that are CLP labelled are potential sources of risk. KTH registers all its chemical products in KLARA. In order for the list of chemicals to be current, an annual chemical inventory is made in January-February.

The individuals inventorying need relevant authorization in KLARA to access the inventory tool. An introductory training course is required before authorization is granted. Training is provided by the KLARA System administrator or alternatively by the KLARA administrator at the school in consultation with the System administrator. Access is given by the KLARA administrator at each school.

Before the inventory period, training is offered for inventory takers. Current courses are listed at the top of this page.

Using barcodes very much increases the efficiency of the inventory process.

The Barcode Module

In addition to saving time during the inventory period, adding newly purchased chemicals and removing chemicals that are finished year round is simple using the barcode module. These regular updates make it easier to locate chemicals year round and often prevent the unnecessary purchase of chemicals.

The barcode application, BarcodePcApp, can be downloaded from KTH's software center if you have a wik computer. Otherwise, you need a link and an identification file that you can keep from your school's KLARA administrator.

Medicines, Narcotics, Antibodies and Proteins

Medicines and narcotics must not be registered in KLARA. Antibodies and proteins do not need to be registered, unless they are mixed with chemicals, such as sodium azide, which is often used as a preservative, or if they are considered harmful according to CLP marking.

Kits, cell media, buffer solutions and gas containers must be registered in KLARA.
