GDPR when applying for scholarships

GDPR covers the processing of all types of personal data that can be linked to you as a person. On this page, you will find information on how your personal data is handled when you apply for a scholarship.

 This information sets out how KTH uses your personal data in compliance with the General Data Protection Regulation (EU 2016/679), GDPR. It applies if you are applying for a scholarship. 

How KTH processes your personal data when you apply for scholarships

It is the foundation that is personally responsible and as such, KTH are responsible for saving only necessary information.

Personal data that you provide in this application, or otherwise registered in the context of the application process, are processed by the personal data responsible, examining your right to a scholarship and for other contribution management. Personal data may also be processed to enable the foundation to fulfil its obligations under law, other constitution or authority decision. Such treatment may be treatment to meet the requirements of the accounting or money laundering laws, reporting to the Swedish Tax Agency, the Police Office, Kronofogdemyndigheten, Finansinspektionen and other authorities.

In order to maintain good registry care, personal data may be supplemented by retrieval from private and public records, such as update of address details using the state person and address register, SPAR.

Transfer of personal data

The personal data will be disclosed to the bank, which on the foundation's behalf, administers certain administration, such as accounting and payment of scholarships.

Retention period and the lawfulness of processing

The personal data is stored for as long as necessary in regards to the purpose of the administration and for the foundation to be able to fulfill its obligations under law. If a scholarship is granted, the personal data will be stored until the last payment has been made and thereafter for a maximum of 10 years. If a scholarship is not granted, personal data will be saved for at least two calendar years.

The right to access your personal data

You are entitled to receive information about your personal data processed by the foundation and are entitled to:

  • get registry extracts
  • request correction of incorrect or incomplete information
  • request deletion or limitation of processing of personal data
  • object to the treatment of the personal data
  • the right to, under certain conditions, extract personal data from the foundation that you have provided to the foundation and the right to have them transferred directly to other personal data administrators if technically possible (data portability).
