The aim of these directions is to collate information on the design of the central e-mail system and how it is intended to be used, how spam, antivirus and backup are managed, instructions on the management of mass circulation, what phishing is and its consequences.
Automatic forwarding e-mail is prohibited for all users employed or in an employment-like relationship by KTH or other Swedish government organizations.
All e-mails addressed to government employees are considered public documents, and as such may not be moved outside the government organization.
In order to ensure compliance with KTH's regulatory requirements, automatic forwarding to other e-mail systems (external or internal) is not permitted. The reason for this is to ensure that communication of a public nature is not lost. It must be possible to trace it, follow it up and review it at a later stage.
This also applies to the forwarding of e-mails via manual settings/filters/rules in Outlook, Webmail and/or other e-mail clients or e-mail managers.
The basic principle is that information that concerns large groups of employees should primarily be distributed via function managers at the schools. Mass mailings can easily be considered "spam" and content that is not relevant. Mass mailings also mean that time must be set aside for each individual mailing at both the office for Communication and Business Liaison (CBL) as well as IT. They must therefore be worth the work effort made, including the perceived value of the mailing to the recipients.
