University-wide procedure for analyses within the environmental management system

1. Purpose
The purpose of this procedure is to describe the basic analyses conducted within the framework of the environmental management system in order to map KTH’s environmental impact. The significant environmental impact forms the basis for planning, implementation and monitoring of environmental management work and work on sustainability and climate goals. The aim is to improve KTH’s environmental performance.
The basic analyses conducted on a regular basis are as follows:
- Analysis of the environmental and sustainability impacts of operational processes/operational areas from a life cycle perspective.
- Analysis of binding requirements
- Environment and stakeholder analysis
- Analysis of risks and opportunities
- Assessment of the environmental impact of activities
The analyses must serve as a basis for the environmental review conducted for the preparation of the significant environmental impact of activities.
2. Scope/delimitation
The procedure covers all KTH activities.
3. Definitions
Activity/environmental aspect | Elements of an organisation’s activities/operations or products or services that affect or may affect the environment. |
Significant activity/environmental aspect | An environmental aspect that has or may have one or more types of significant environmental impact. |
Environmental impact | Positive or negative impact on the environment caused wholly or partly by the environmental aspects of an organisation. |
Life cycle perspective | Systematic analysis of all environmental impact caused by a product/service throughout its life cycle, i.e. from raw material to final disposal at the end of its useful life. |
Operational processes/areas | A group of activities in specific operational areas that interact or influence one another with a clear beginning and end. |
Risks and opportunities |
Potentially negative impacts (threats) and potentially positive impacts (opportunities). |
Stakeholder | A person or organisation that can influence, be influenced or considers itself to be influenced by a decision or action related to the organisation’s environmental impact or environmental management work. |
Binding requirements | Legal requirements that KTH needs to fulfil or other requirements that KTH needs or chooses to fulfil. |
4. Responsibilities
The Sustainability Manager is responsible for ensuring that an environmental review and the basic analyses are conducted regularly. The results from these form the basis for KTH’s continuous planning, implementation and monitoring of environmental management work within different functions and at different levels within KTH. This includes management, Operational Support (OS) and the schools.
The President, Head of OS/head of school is responsible for ensuring that the results of the general analyses are implemented in the relevant activities.
5. Implementation
Analysis of the environmental and sustainability impacts of operational processes/areas from a life cycle perspective
An ongoing analysis of KTH’s operational processes/areas is conducted from a life cycle perspective. The aim is to identify activities with significant environmental impact.
Analysis of binding requirements
A continuous analysis is conducted regarding which legislation/binding requirements relate to the activities that have an environmental impact. These binding requirements are summarised in KTH’s law list for the external environment. The analysis includes the degree of compliance with the binding requirements and whether sufficient training initiatives and procedures are in place to ensure compliance with the binding requirements.
Environment and stakeholder analysis
The environment analysis is an analysis conducted in respect of the internal and external factors that affect or may affect KTH’s environmental and sustainability work.
A stakeholder analysis is conducted in order to identify relevant internal and external stakeholders who have requirements and expectations of KTH’s environmental and sustainability work. An assessment is made of their needs and expectations that are relevant and can be equated to binding requirements.

Analysis of risks and opportunities
Operational risks with a negative environmental impact and opportunities with a positive environmental impact must be mapped and managed within the framework of the environmental management system. The analysis is conducted in order to determine which risks and opportunities need to be addressed within the framework of the environmental management system.
Risk work is coordinated with the work done at KTH within the framework of the Internal Governance and Control Regulation (2007:603).
Environmental review and assessment of activities with significant environmental impact
The results of the above analyses are included as data for the environmental review. A list of all activities with an environmental impact is compiled and updated annually or when changes are made. Areas and activities are assessed using a documented assessment model in order to identify activities with significant environmental impact. The significant activities are managed within the framework of the environmental management system and form the basis for establishing sustainability and climate goals and the related action plan.
The Sustainability Manager is responsible for ensuring that an environmental review is established and kept up to date, and that an assessment of the environmental impact of activities is conducted on a general level for KTH with the support of the above analyses conducted within OS and schools. The list of areas and activities with environmental impact is common to all of KTH. The list is revised every year, whenever there is a need to revise it or when changes are made in the organisation. The need for updates is raised at the management review within schools and OS and with KTH’s management.
