University-wide procedure for updating of the Sustainable Development Policy

1. Purpose
The purpose of this procedure is to describe how the Sustainable Development Policy for KTH Royal Institute of Technology is established, revised, communicated and monitored.
2. Scope/delimitation
The procedure covers the whole of KTH.
3. Responsibilities
The University Board makes decisions on all policies at KTH Royal Institute of Technology.
The Sustainability Manager bears overall responsibility for establishing, communicating and monitoring policy relevance and compliance. Heads of Operational Support (OS) and schools are responsible for communicating and monitoring compliance with the policy within their areas of responsibility. Communication must take place both internally and externally.
Employees and people working on behalf of KTH have a responsibility to ensure they are familiar with the Sustainable Development Policy.
4. Implementation
All policies at KTH are adopted by the University Board and updated as needed by the responsible KTH functions.
The Sustainability Manager is responsible for ensuring that the sustainability policy is revised when significant changes are made to the organisation that affect the content of the policy. The Sustainability Manager prepares amendments to the policy in collaboration with the relevant functions and forums within KTH, and also with the Student Union at the Royal Institute of Technology (THS). The Sustainability Manager works on the basis of the comments received and prepares a final proposal for a sustainability policy that is presented to the President for a decision to be made by the University Board.
The policy must meet the requirements of ISO 14001: 2015 and the Environmental Management Regulation (2009:907) and reflect KTH’s sustainable development efforts.
The relevance of and compliance with the policy are discussed as necessary during the management review of the environmental management system at different levels within the organisation.
Communication
- KTH’s Sustainable Development Policy is published on the external KTH website and intranet, at both a general and a school level.
- The responsible function at OS publishes the policy among KTH’s regulations.
- The KTH Sustainability Office publishes the policy on KTH Sustainability’s external and internal pages.
- Responsible functions within KTH communicate the policy to employees, students, internal and external stakeholders, suppliers and contractors, where relevant.
