Programme room checklist

Here, you will find checklists before you make a new announcement or updates for the new academic year.

New announcement

  • Does the information only apply to the programme's students? You must not publish announcements that apply to all students and are sent out through the newsletter.
  • Is it current information? If it is not current information but something that applies for a longer time in the future, consider whether it should instead include programme-specific information in the module.
  • Is it clear what you expect the student to do after learning the information? Should the student act on something?
  • Does the announcement need to be unpublished at a later date?
  • Where should the student turn with questions?

The announcement in Canvas has the default setting that users can comment on the announcement. If it should not be possible, you need to turn off that function under "Options". If you do, that setting will remain for future announcements. How do I allow or disallow announcement replies in a course? (community.canvaslms.com)

Before the new academic year

1. Check content

Homepage

Check that contact details and links are correct.

Announcements

Delete all announcements that are not relevant for the coming academic year.

Assignments

Go through all the assignments:

  • Date and time. Check the date on the Student web. If there are programme-specific deadlines, check with the content manager.
  • Possible location (e.g. website for application or venue for information meeting)
  • Any additional information needed (e.g. link to the application or the purpose of the information meeting). Only enter small amounts of information. This means you do not need to spend more time controlling and updating many different parts of the programme room.

Modules

Go through all modules:

  • Check that the link to the Student Web works.
  • Review the content of the programme-specific information page. Delete what is not relevant for the coming academic year.
  • Go through assignments such as information sessions /events. Update the date, time, possible location and any additional information.
  • Delete old files that are not relevant for the coming academic year.
  • Review assignments that are under deadlines. Check the date on the Student web. If there are programme-specific deadlines, check with the content manager. Update the date, time, possible location and any additional information.

People

Go through people:

  • Agree with the educational administration manager (UA) about which people are programme editors and must have access to the programme room.
  • If there is a change among programme room editors, UA must notify info@kth.se, who can introduce the new programme editor.

2. Examine the room in student view

Review the content of the programme room using the student view to see how it looks to the students. The student view adds a test student to the programme room.

3. The content manager approves the programme room

Notify the content manager when you are done with all updates. The content manager approves.

4. Publish the first announcement of the academic year

When everything is updated, you send out a first announcement to the students:

  • welcome to the new school year
  • tells that the programme room is updated
  • your expectations for students to stay updated through the programme room and remind them to turn on their notifications.
