Things to consider when using the form service

The following are important things to keep in mind when using the form service.

If you create a form, only you have access to it!

Unless you add additional editors or link the form to a folder that others have access to, the forms you create are bound to your permissions. Others will not be able to edit your forms. If you leave KTH or change roles, you must transfer ownership of forms that should remain active by assigning other editors to them! Establish your forms within the closest organization and ensure that their management is secured.

Clicking the "Done" button for a question does not save the form

Changes to a form only take effect when you click the "Save" button at the bottom of the page.

Forms must be closed in order to be deleted

You must actively check that a form is closed under the "Settings" tab for the delete link to appear in the list of forms. It is not enough for a form to be closed by limiting the response date or maximum number of responses.

Changes in forms affect the layout of responses in Excel

If you remove or add questions to a form that has already received responses, it will affect the layout of the responses when exporting them to Excel. The Excel document will list the incoming responses grouped in different versions, based on how the form has changed. In practice, this means that a question that has been placed in different positions in the form while responses have been received will not have its answers listed in the same column throughout the Excel document.

Changing the subdomain for the web address cancels the previous address

Think carefully about the web address for your form. Once you have shared the address, it is not advisable to change it. The previous address will no longer work.

The form does not send email responses if recipients are not specified

You need to specify in the form settings who should receive the responses via email. If no recipients are specified, the incoming responses must be retrieved from the form service via the "View answers" link or through Excel export.

Confirmation emails to the sender require an email question

Under the "Settings" tab, you can specify which information should be shown in the email sent to the person who filled out the form. However, this requires that the form contains an email-type question where the confirmation email option is checked. No confirmation email will be sent if the email address is collected through any other question type.

Will I get a lot of spam through the form?

Most likely not. Web robots that search for and misuse form services cannot access the form by scanning the HTML code. The form is only visible when opened in a browser.

The form service requires Javascript support

Users who do not have Javascript enabled in their browser will not be able to use the form.

Technology may cause issues
