Licence function at KTH

Is responsible for:

• handle the business's requests for new licence agreements
• sign and follow up on common licence agreements
• ensure that the businesses comply with the licensing requirements of software vendors in the best possible way
• Licensed software and licensing information is available to all users at KTH
• provide the software covered by universities' agreements to license managers and IT technicians, as well as students and other employees through a software download service
• maintain records of licensees, including account management
• maintain records of the installed software for which the joint licensing business is responsible.

Local licence manager

Local licence managers handle licensing issues at schools. The task includes local support, installations, reporting and ordering, payment, and contacts with suppliers and the licence coordination function as well as the school management, etc.

• Handles software purchases and licences
• Asks for approval from the school's management when acquiring new software
• Designs a process for managing the most common software at school
• Responsible for the school's licence monitoring by consulting licence coordination function
• In turn, may request licence reports from school staff
• Registers software and licence in the licence register
• Following up the management and use of the software to comply with Terms of Use
• Reporting any discrepancy from compliance to the school's management
• Informs school staff about changes related to licences, software and agreements
• Reports quarterly to the school's management about the school's licence management
• Is the dedicated role of dialogue with licence coordination function at IT department, school activities (users) and school management
• Attends KTH Joint Coordination Meetings regarding software acquisitions to achieve the greatest possible synergy effect
• Responsible for organizing school's local software needs can be achieved.
