Preparations for examiners before a supervised exam

As an examiner for a supervised examination, there are a number of important preparations you must complete, not least submitting the exam wording for printing in time before the examination. We have gathered all the information you need.

Before written on-campus exam

Deadline for submission of exam wording 

The exam wording must be submitted to the group for Examination administration for printing:

  • no later than 3 working days before exam with 1-500 registered,
  • and no later than 5 working days before exam with over 500 registered.

Submission of exam wording

The examination wording is submitted in any of the following ways:

  1. KTH OneDrive (pdf format) according to the instructions below.

  2. USB stick (pdf format) delivered to Drottning Kristinas väg 4-6.
  3. Printed paper for copies delivered to Drottning Kristinas väg 4-6.
  4. The examiner can choose to copy and deliver the printed exam wording directly to the writing rooms on the day of the exam. In this case, examinationsadm@kth.se  must be notified by the deadline stated above.

Format of of exam wording

The exam wording must contain: 

  • course code and course name, 

  • date, 
  • writing time for the exam, 
  • allowed aids, 
  • examiner (name and telephone),
  • and any information about special handling of the printing (printing on different coloured paper, double-sided or not), the printing of formula collections or other things must be communicated in an attached document.

Avoid exam wordings where students answer directly on paper when the exam has several pages and/or is stapled. Instead, use a separate response form. Our scanner machines cannot scan stapled paper. 

Before digital exam in computer room

Seating

During computer-based exams, all computers in the computer room are used. If you would like a different arrangement, please contact examinationsadm@kth.se  and we will try to find a solution. Please note that alternative arrangements are not always possible since access to computer room seats is limited.

Technical support before the exam

If you need technical support in managing the Canvas exam room, our teaching assistants are available to review and test the setup and settings. They can assist with specific IP restrictions in computer rooms, password protection for quizzes, and other measures to further secure your exam. You can contact the assistants at amanuens-exadm@kth.se .

Technical support during the exam

If you have a scheduled exam, at least one of our teaching assistants will be present in the computer room. Invigilators and students can consult them to resolve minor issues on site. If you have granted these assistants “teacher access,” they can also resolve major problems should they arise.

Information that applies to all on-campus exam

Teacher on duty

For each exam, there must be at least one teacher on call. If the examiner cannot be available during the exam, the examiner must appoint at least one teacher on call who will be reachable by phone throughout the exam session to resolve any potential issues concerning the exam. The teacher on call, as well as other important information that the invigilators may need on the exam day, must be submitted through the supplementary information form .

Responsibilities of the teacher on duty

  • Teachers on duty should visit the exam rooms unless there are special reasons not to, in which case the exam invigilator must be informed that the visit will not take place. The teacher on call must also immediately go to the exam room if requested.

  • If the teacher on duty gives supplementary information during the written test, that information must be provided to all students so that they complete the written test under equal conditions.
  • The exam invigilator has the right to request that the teacher on duty present identification when visiting the writing room.

Handling and placement of Funka students

Exams for students with disabilities are handled by the group for Examinations administration. Seating arrangements for students with disabilities are shown in a shared document. Contact the Examinations administration ( examinationsadm@kth.se)  if you do not have access to this link or have other questions about the process.

Problems registering, old course code or other complications

If the student has problems signing up, the student must try an old course code that is no longer available, other complications or requests that mean the student needs a place, other changes regarding your written tests we refer you to the following respective schools' course offices:

Contact and support for examinations

The group for Examination administration (within VS/EDO) coordinates all administration related to supervised examinations, including support for students with disabilities (Funka), since september 2024. The group consists of employees from all KTH schools and works to ensure efficient and legally secure procedures, and provide support to examiners.
