Access Rights in KTH-HR

KTH-HR consists of two systems (HR-plus 8 and Medvind), and access rights must be requested for both.
The payroll system HR-plus 8 handles employment, salaries, and salary payments.
In the time reporting system Medvind, employees report absence, leave, and working hours. Planning and time registration for hourly employees is also managed here.

The employee role is granted to all employees as well as those registered as affiliated/non-employed individuals, such as scholarship holders, professor emeritus, and affiliates. This access allows users to manage their own working hours, leave, and absence registration.

The manager role must be requested for all managers and is set up in an organizational tree where the manager has subordinate employees.

In addition to these roles, there are several other access levels:

HR-plus 8

  • Economists – Role 2 (Economist view in the system):

    • Can view employment details (including salary, excluding BESTA, etc.)
    • Can use “Search Employee”
    • Can view financial reconciliations (expert tool for economists)
    • Can start and complete current accounting
    • Access to service journal (five years back and forward); older journals are available via designated economist per school
    • Payslips can be retrieved via designated economist per school
  • Certifying Officers – Role 9 (Registers certifying officer for travel-related tasks):
    • Can view employment details, limited view (excluding salary, BESTA, etc.)
    • Can use “Search Employee”
    • Can view personal file (only part of the expert tool)
  • HR Basic – Role 7 (Basic employee information):
    • Can view employment details, limited view (excluding salary, BESTA, etc.)
    • Can use “Search Employee”
    • Cannot start or complete cases
  • HR Basic + Affiliated – Role 8 (Basic info on employees and affiliated persons, including registration of affiliated persons/opponents):
    • Can view employment details, limited view (excluding salary, BESTA, etc.)
    • Can start or complete cases: New affiliated person with/without compensation and contractors
    • Can make changes to affiliated persons with/without compensation and contractors

Medvind

  • Time Planner & Time Reviewer – Role 4 MV:
    • Allows departments to assign, staff, report, and review hours for intermittent employees
  • Time Planner – Role 5 MV:
    • Allows departments to assign and staff intermittent employees
  • Time Reviewer – Role 6 MV:
    • Allows departments to review reported hours from intermittent employees

Requesting Access

Access is requested by the manager by filling out a form (the forms are in Swedish):

If someone other than the manager submits an access request, the responsible manager will receive an email notification.
