Units at each school that receives applications for approved leave from studies - programme

An application for an approved leave from studies of a programme is sent by e-mail to the school at KTH that the student has stated in the electronic web application form. If the student has chosen ”wrong school” in the electronic web application form, the application should immediately be forwarded to the correct school, see below.

An application for an approved leave from studies of a free standing course is sent by e-mail to info@kth.se from the electronic web application form. Information and service will forward the e-mail to the school

If the application is submitted by other means, the date of arrival should be noted (e.g. through a stamp). KTH is obliged to receive the application regardless of the manner in which it is submitted.

Register application

When the application has been submitted to KTH, the application documents are registered as a new case in the academic register (W3D3). For more information on registering matters and the handling of sensitive data see Register Handbook[JH1] . Registration in W3D3 should take place without delay, i.e. as soon as the application has been submitted to KTH. A collection number should not be used for matters that regard approved leave from studies. The application documents should clearly state when they were submitted to KTH. If the application is submitted through the electronic web application form, the date of arrival will be visible in the e-mail message that is generated by the form

Check that the application is complete and request additional information

If the application is considered incomplete, the student should be given the possibility to complete the application. A request for additional information should include a deadline to submit all requested documentation (this deadline should be reasonable in relation to the scope of the material requested, for example one or two weeks), as well as information on what will occur with the application if the requested information is not submitted, i.e. that the application will be determined based on the existing documents.

Check whether the application is in regards to a tuition fee paying student

Approved leave from studies will have economic consequences for students who pay tuition fees and are therefore requested to contact info@kth.se for more information.
