Every year KTH organises a large number of meetings and events on campus. Events of various kind and smaller conferences and congresses are held throughout the year. Larger conferences and congresses are mainly held during the summer months. These meetings have KTH as a host and are aimed at different target groups. The following pages will provide you with information on how you can obtain help to invite a congress to KTH, what you should keep in mind during the planning process and the special conditions that apply when you organise meetings at KTH.
COVID-19 affects the entire world and, also the conferences/events that KTH has planned to organize.
In this document there are information regarding KTHs responsibilities. You will find guidelines that may be helpful if your conference/event is somehow affected or cancelled.
Who takes the financial risk if the conference / event is canceled or the number of participants is lower than calculated?
The school that signed the agreement takes the financial risk.
Does KTH take any central responsibility?
At the present, there are no special responsibilities because of COVID-19. Business as usual.
Where does KTH collect information about the COVID-19?
KTH follows the recommendations from the Public Health Agency of Sweden (Folkhälsomyndigheten). Current updates are made on the following page at the intranet.
How should you act in this situation?
• Do an analysis of risks and consequences if you consider whether to arrange, cancel or postpone the conference/event.
• Find out what the costs will be if you need to cancel or postpone the conference. Check when you can cancel suppliers in order to avoid certain costs.
• Check the speaker and participant list, are there alternative solutions for those who are forced to cancel?
• Is it possible to organize the conference / event as a digital event?
• It is important to be well informed about COVID-19 development, as conditions can change quickly.
No physical conferences or events are to be conducted at this time.

An event is a channel for live communication. An experience in the form of an event that is carried out against set goals and where the content and structure have been developed for a suitable target group. Examples of events held at KTH on a regular basis are inaugurations, open lectures, platform days, KTH Global etc.
Conference and congress
Conferences organised at KTH are based on an academic content and are aimed at a specific target group of relevance to the subject. Conferences and congresses often mix plenary sessions with smaller workshops, are largely based on the participants' own research and often include a variety of exhibitions. Objectives for academic conferences and congresses often include; creating engaging discussions, problem solving and the generation of new facts.
