Checklist to use before travelling

The recommendations on this page are aimed at staff and students who are traveling on behalf of KTH. By going through the checklist before and during your trip, you facilitate a safe and secure journey and create the conditions for managing unforeseen events.

In case of increased risk

Prepare an emergency bag with important documents (a copy of your passport, phone and credit card numbers, certificates, etc.), medications, and other essentials. Also, create an emergency or evacuation plan and share it with family members and your employer.

As far as possible, it is recommended that you book travel through KTH’s contracted travel booking service. Make sure to gather as much information as possible. Use the Swedish Ministry of Foreign Affairs' (UD) travel information and the Resklar app for updates on your destination and current travel information, and assess the risks of the destination.

Have you found out what applies to your destination?

Determine which area is best to stay in, what transportation options are available, and what accommodation alternatives apply to the area you’re traveling to. If needed and possible, collaborate with local contacts for recommendations. Also, ensure you have the proper vaccinations and know what local laws and customs apply.

Have you found out what applies for your journey itself?

Find out what visa and passport requirements need to be met for the trip and any potential transit. Also, ensure you follow the regulations for baggage and which items are prohibited. Make sure you have the necessary insurance (including health and travel insurance).

Are you taking necessary safety measures during the journey?

Make sure to follow local safety regulations and avoid high-risk areas. Stay alert to your surroundings and avoid carrying valuables openly. Always be aware of how to act in an emergency: this includes knowing the nearest exit routes and gathering points.

Are you traveling with information security in mind?

Do not bring computers, tablets, or phones that are not necessary for the trip. Make sure to perform program and security updates on the devices you bring before departure. Never leave them unattended. Always use KTH’s VPN. If it’s not available, consider whether you really need to use the internet. To the extent possible, use Eduroam and be cautious with public networks. Turn off location services and only use personal USB drives.
