EECS University Administration this summer

During the summer, administration staff are available a limited basis. The opening hours for the Service Centre are different and response times may be longer. Read to find out how to get help this summer.

School´s Office of Student Affairs

  • The administrative contact point for teachers involved in first- and second-cycle education
    ( education-support@eecs.kth.se ) is closed for the summer from 17 July to 6 August.
  • The administrative contact point for supervisors, doctoral students, and teachers involved in third-cycle education ( doctoral-education-support@eecs.kth.se ) is closed from 14 to 25 July.

Emails received during the closure periods will be answered after the office reopens. Urgent matters during this time can be sent to utbadm@eecs.kth.se .

Communication support

The communication unit is unmanned during weeks 31-32 (28 June -10 August). During the summer, it can best be reached at communication-support@eecs.kth.se . In case of emergencies or crisis, please contact Sturle Hauge Simonsen .

pEECS newsletter summer break

The pEECS newsletter is on summer break, with the last issue before the summer being sent out on 18 June and the first on 28 August.

Service centers

Service Centre Q is closed from week 26 to 32 (June 23 to August 8).
Service Centre Borggården is open Mondays and Wednesdays from 10.00-12.00

In connection with the Campus move, we are closing the service center in Electrum. The last week we will be open is week 25.

Staff are available in the back office during office hours, at other times, and can be contacted throughout the summer via the service@eecs.kth.se  or by telephone on 08-790 40 00.

  • The mail round occurs once a day at the KTH campus. The mail in Electrum will be delivered 1-2 times a week.
  • We refer all parcels and couriers to KTH post on campus (including Kista's packages); we are responsible for picking up parcels and notifying the final recipient when collection can occur. Parcel deliveries to Kista will take place 1-2 times a week from the KTH campus.
  • Simpler matters, such as office access, courier, and parcels, are carried out throughout the summer.
  • During weeks 27-31, many of our catering companies are closed for the summer, so the catering offer is limited during these weeks.
  • Fruit and milk deliveries will stop in weeks 27-31 (June 30 - August 1).

Purchasing during the summer

Purchasing support is not staffed during weeks 27-32 (June 30 - August 8). Only Wisum orders with ready-made shopping baskets will be processed, but they will have longer response times than usual. During weeks 27-32, no new direct purchases will be initiated, and purchases requiring card payment will not be made. Purchasing, procurement and expenditure

Invoices

Use invoice@eecs.kth.se  for all matters relating to customer and supplier invoices and other payments other than expenses and travelling expenses.

If you usually handle invoices and purchases, it is essential that you activate your replacement before the holiday. Contact invoice@eecs.kth.se  if you still need to get a replacement.

Event support is not staffed during the week 29-32. For urgent matters or new event requests, please email service@eecs.kth.se

HR support

The recruitment system closed

Recruitment advertisements (publication of advertisements) will be closed for the summer weeks 29–32 (14 July–5 August). The last day to request publication is Wednesday, 9 July. Remember to extend any advertisements that expire during the time that recruitment advertisements are closed for the summer.

To ensure that advertisements are published and extended on time, submit a request for publication at least three working days in advance.

Travel and expense claims

Use reserakning@eecs.kth.se  for all matters relating to expenses and travel expenses. During the summer period, the travel assessment team will be in place, but the response time will be longer due to reduced staffing.

IT support

Open and available throughout the summer, but with a slightly lower level of service due to reduced staffing.
We accept enquiries via it-support@kth.se  and 08-790 66 00 throughout the summer from 8.00-16.30. 

IT purchase

All functions are available throughout the summer but with lower staffing.

What to do in case of fire, accident or disaster

Management office

The Management Office is closed from July 14 until August 10, with limited staffing. Due to this, responses will be delayed. You can reach the Management Office at ledningsstod@eecs.kth.se .

The Head of School function is staffed remotely during the summer in case of an emergency; you can reach the Head of School at skolchef@eecs.kth.se

Contracts that need to be reviewed and signed by the RSO before and during the summer

As usual, please contact avtal@eecs.kth.se  for guidance and handling. The function has reduced staffing both locally at our school and centrally at RSO, the central department for research support. For urgent matters, the contract function and RSO can prioritise processing and initiate these even during the summer holidays, but please note that the availability of decision-makers during their vacations may also affect whether we can get agreements signed or not.

Contracts related to external research funding and collaborations

Before you go on vacation

  1. Encode your phone extensions. 
  2. Schedule out-of-office replies for emails.
  3. "Klarmarkera" in KTH-HR
  4. For financial approvers – make sure to activate a replacement in the system.
  5. Make sure not to leave any food that will expire in the common fridges. 
  6. Turn off the lights in the office and unplug mobile chargers.
