Course memo

At latest at the start of a course, a course memo must be available for the students on About course. This is regulated by "Guideline on course syllabus, grading system and examination". Everyone who is added as examiner, course coordinator or teacher in Kopps for a specific course can create and publish a course memo with the help of the About course administration tool, and the function "Course memo"

What is course memo?

At latest at the start of a course, a course memo should be available for the students on About course. This is regulated in . It is also stated in the guidelines which information a course memo must contain.

The course memo is the overall plan that helps the student to prepare and plan for the implementation of the course, both before the start of the course and during the course. A course memo guides the student and enables the course to be implemented in an efficient and suitable way.

The course memo contains information about the aim of the course, learning activities, preparations, details of the examination and contact details for the course. It should also include information about the student's rights and obligations on the course.

During the course, the student uses both the course memo (in About course) and the course room (Canvas). The course room in Canvas contains the material that the student needs to complete the course. Both the course memo and Canvas can be reached from Courses in the Personal menu.

Why course memo on About course?

Creating and publishing a course memo at About course gives students and teachers many advantages. For the students it is important that they can find the course information quickly and easy, and that the course information is presented in a similar way for all courses.  

An advantage for you as an examiner, course coordinator, or teacher is that, by using the tool to create the course memo, you get help with publishing accurate, legal, and quality assured course information in your course memo:

  • Automatically retrieved course information from other sources (such as course syllabus and contact information from Kopps).
  • Guidance (using definitions and structured help texts) on what, why, and how the content should be designed to be qualitative and help the student.
  • Control over course information, e.g., by collecting all versions of course syllabuses, course memos, and course analyses in a public archive.
  • Once you have created the first course memo for your course, you can start from the previous one before the next course round. 

How course memos are shown at About course

Current course memos are shown at the page "Prepare and take course"/"Course memo". All published course memos are shown at the page "Archive". If there is a published course analysis for a course offering current course memo will be shown at the page "Course development" together with the course analysis. Publish the course memo before course start. Students prefer the course memo to be published 1-2 weeks before course start so that they have time to prepare for the course.

Inform the students that they can find the course memo on About course by navigating there through the Course and programme directory or by using the link under their course in the Personal menu.

Although the course memo can be reached from the Personal meny, it is important that you add a link to the course memo in the course room in Canvas, to make it easier for the student to find the course memo. See The Syllabus function in Canvas

Functions to handle course memo

With the help of the About course administration tool, and the function "Course memo", you can create and publish course memos at About course. The function is built-up in three steps where you can go back and forth between the three steps. Guidance is provided within the function.

You can choose to create your course memo by using the About course administration tool, and the function "Create, publish". You can also choose to upload a course memo you have created outside About course, then you use the function "Upload and publish course memo in PDF-format".

Create and publish course memo 

When you create a course memo by using the function "Create, publish" you will use the template for course memos that is avaliable in the function. The template consists of a number of predefined headings that are grouped into five sections/tabs with a number of different headings under each tab. Some of the headings are always included, some are optional.

If you use the function "Create, publish", information is retriewed from the current course syllabus, to ensure that your course memo contains accurate, legal, and quality assured course information. Contact information is also retrieved automaticly from Kopps.

If you use the function "Create, publish" you can choose to create a new course memo or start with a copy of a previously published course memo. You can finish with a saved draft, to continue editing it later.

Upload and publish course memo in PDF format

It is recommended to use the function "Create, publish" to ensure that the students obtain correct, legally secure and quality assured information.

However, it is also possible to use the function "Upload or edit course memo as a PDF" in order to publish a course memo created outside About course. The file you upload must be in PDF format and meet web accessibility guidelines.

Please make sure that the information in the course memo corresponds to the .

Change published course memo, and add administrative course instances

You can change a published course memo. In that case, a new version of your course memo is created and it is that version that will be shown as a subpage to the page "Prepare and take course". The older version of your course memo remains, but will only be shown on the subpage "Archive".

If you have created your course memo with About course, you use the function "Change published". If you have created your course memo outside About course, you use the function "Upload or edit course memo as a PDF".

Please have in mind to be very restrictive with changes to information regarding examination, as the preconditions may not be changed in relation to the course syllabus and the first published course memo.

Additional administrative course instances may be created after you have created a course memo for your course offering. By using the administration tool you can connect the new administrative course instance with your course memo. To connect another administrative course instance with your course memo, you use the function "Change published" or "Upload or edit course memo as a PDF". Please note that you must publish your course memo in order for the changes to take effect. It is not possible to disconnect an administrative course instance from a course memo. In case it is necessary to disconnect it, please contact IT Support  for help.

Support when you create course memo

All functions in About course offer built-in support to make it easy to understand what one should do in the three stages that one must go through. The built-in support makes it possible to immediately start creating a course memo and follow the support offered in the function.

If you want to get started right away, start by unfolding the link in step 2 in the function: "Introduction and instructions", read the information and follow the five steps to get started quickly.

You will then get support for each heading:

  • next to each heading there is an i-icon explaining what the heading means, how it helps students and how to edit it.
  • if the heading is editable and you choose to edit it you can select "Show guidance". Under "Show guidance" you get information on how to write the content so that it helps the student.

Search for your course in the Course and programme directory: Search course . On the page "Before course selection” you click on the link "Administer About course", then select one of the functions in the "Course memo" box.
