Frequently asked questions about Teams
Can I get Teams?
University Administration: From March 2026 onwards, the departments within the University Administration will be gradually migrated to Teams. Each department will decide on its own pace, and kick-off meetings will take place from the beginning of March onwards.
Faculty: At present, Teams is available on request for external collaborations. Later in 2026, Teams is expected to become available for collaboration within KTH as well. More specific information on when this will take place will be announced at a later date.
How do I install the Teams client?
Check if you already have Teams installed, in that case go to step 4.
If you want, please install the Teams app on your cellphone.
How do I log in to Teams?
To log in to Teams, use your username followed by @ug.kth.se (example: testjp@ug.kth.se) and password for your KTH account.
For those who have used Teams in another organisation: If you are using a Teams invitation you received from another organisation, Teams may sometimes get stuck in that organisation’s login.
Follow this step-by-step guide to log in correctly.
In the top right-hand corner of your Teams window, under the three dots, you can choose to switch to a different organisation.
Then log in to Teams using your KTH username followed by @ug.kth.se (example: testjp@ug.kth.se) to log in with KTH as your organisation.
How do I get invited to other people's Teams?
For those of you who have an active Teams licence at KTH and are to be part of a KTH team: The owner of the relevant team can find you in Teams and add you directly.
For staff and students who do not have a Teams licence at KTH:
Contact the owner of the team in question and ask them to send an invitation to the following email address: användarnamn@ug.kth.se.
Once you have received the invitation, click on the link in the email. This will open Teams and give you access to the team you have been invited to.
Can I use Teams to collaborate with people and organisations outside KTH?
Yes, staff and students can always be invited to join teams set up by external organisations.
If you work in University Administration and are responsible for initiating collaboration and inviting external organisations, you must first ask your closest manager for permission to start a new Team. Then follow the rules and procedures in the

If you are a faculty member and are responsible for initiating collaboration and inviting external organisations, you can email
it-support@kth.se
to obtain an extended licence for this purpose.
Can I create my own team?
If you are employed in the University Administration, you must first ask your closest manager for permission to start a new Team. You should then follow the rules and procedures set out in the
Teams - Mandbook, rules and procedures (In Swedish) (pdf 1.7 MB)
If you are employed in the faculty and need to replace a group web in KTH Social, you can contact
e-learning@kth.se
for guidance on using Teams.
If you are employed in the faculty and are responsible for initiating collaboration with external organisations, you can email
it-support@kth.se
to discuss the possibilitities to obtain an extended licence for this purpose.
Other cases within the faculty do not currently have access to that feature.
Can students use Teams?
If you are a student invited to Teams by an external organisation, you can join Teams by using the invitation to their environment.
As a student, you cannot use Teams to send invitations. If you wish to send invitations to a Teams meeting, we recommend that you use a personal Microsoft account.
If, as a student, you are part of a research project, management team, faculty board or similar at KTH that uses Teams, IT Support may grant you a licence even if you are a student.
Do I need to buy a licence for Teams?
No, Teams licences are included in our Microsoft Campus agreement at no extra cost.
Can I use Teams with a web browser?
Yes, Teams are available both as an application and as a web client. You can access it at
teams.microsoft.com
.
Can I invite external users to a Teams group chat or channel?
For you who already have full access to Teams: If you want to invite an external user to a group chat or a channel you will need to invite that user to a team and after that user has accepted the invite you will be able to add that user to group chats or other Teams.
