About correct and efficient management of telephony at KTH

Here you find information on how to ensure correct and efficient handling of your work phone or subscription that has been acquired through KTH.

When purchasing or replacing a mobile phone

  • New mobile phones are ordered by the responsible boss and debits that manager's budget.
  • Ordering of phones are done through the Portal for IT matters . Quick reference guide is found at Ordering a mobile phone .
  • If necessary, KTH IT Support or your local IT Support can assist with starting up and configure the new mobile phone so that connections to email, wireless networks, etc are configured correctly.

Short information about mobile subscription

  • Orders, cancellation, changes or porting is done in Portal for IT matters  .
  • 5 GB of data per mon th is included as standardper subscription with Tele2 .

  • KTH prefers that all use the service Mobile extension (Mex) service, which means connection to the switchboard.
  • KTH tries to use eSIM cards as much as possible to avoid the management of changing SIM cards in the event of a future operator change.

Information about telephone number

  • Closed numbers will be in quarantine for atleast 60 days. During the quarantine the number cannot be given to anither user and it cannot be used for calls or texting. After the quarantine period ends the number can be released to be used once again.
  • Your immediate boss can initiate the transfer of your phone number by contacting KTH IT Support. However, the number will be quarantined as above if it has been previously used.
  • ​Your immediate manager can initiate the transfer of your phone number and this is done by contacting Contact KTH IT-Support . However, the number will be quarantined according to previous information if it has been used previously.

  • Telephone numbers can be taken over without quarantine if there is a special reason, for example for function numbers or similar. However, KTH IT ensures to the greatest extent possible that the number is quarantined in order to protect personal privacy.

  • You can port the mobile number that has a subscription through KTH, however, it is not possible for the 08 - 790 xx xx number.

Timeframes

  • When ordering a mobile phone, the delivery time is normally 1-2 weeks. You can choose to pick it up at KTH Entrance or have it delivered to your workplace.
  • When ordering a subscription, the normal processing time is usually less than 5 working days.
  • A mobile phone lasts at least 3 years with normal use. The standard phones that KTH IT suggests have a guaranteed software lifespan of between 5 and 7 years.

In special cases

  • In case of emergency replacements or urgent cases, a loan phone should be used to solve the urgent need. KTH often recycles used mobile phones into loan phones. Contact your local IT Support or Service Center for possible availability.
  • In case of loss of a mobile phone or suspected misuse with it, you should immediately contact KTH IT Support.

Information if you stop working at KTH or when changing your mobile phone

  • When a mobile phone is replaced, the old equipment must be reset to factory settings and all data and codes must be deleted before it is passed on to another user. Disposal/scrap must be carried out in accordance with the school's internal procedures.
  • Remember as a boss or person in charge to always notify us if your employees quit, take leave of absence or similar so we can pause or close the subscription. More information can be found at When an employment ends

Other information

  • KTH IT-Support provides technical support and verifies that procedures are followed and also conducts regular cost audits.
  • Costs for telephone, subscription, traffic and data are charged to the end user's home organisation.
