Process and timeline for course evaluation and analysis
This is the planned process and timeline, step by step, for the new IT system support for course evaluation and analysis. The system is still under development and is planned to be launched later in the autumn semester 2024.
This is what the process for course evaluation and course analysis looks like, from the creation of the course survey to the completion and publication of the course analysis.

Timeframes summarized
- The course survey is automatically published in the course room in Canvas for each course offering. By default, the publication date is the first Monday after the end date of the course offering, but can be changed to be published up to 21 days earlier or up to 7 days later. The course coordinator chooses this in the survey settings.
- Students have 11 days to respond to the survey.
- The course coordinator completes the course analysis within 7 weeks (49 days) after the course offering's end date. The course analysis is published in Canvas together with course data and a summary of the course survey, without free text answers. If no analysis is made within 7 weeks, the course data and summary of the course survey are published without the teacher's analysis.
1. Course survey is created and email goes out to survey owners
Course surveys are automatically created for each course offering, following a standardised survey template. The survey is created 3 weeks before the survey is scheduled to be published; see the next steps. At this stage, the survey is only visible to teachers and will not be published for students until later.
An email is sent to survey owners to inform them that the survey is available.Survey owners can now go in and adjust the survey; see the next steps.
2. Opportunity to adjust course survey
Before surveys are published, survey owners can adjust the course survey by adding questions and adjusting the survey's start date. The course survey start date, and publication, is preset to the Monday after the course offering end date. The start date can be adjusted so that the survey is published 1-35 days earlier or 1-7 days later.
Students always have 11 days to respond to the survey. If the start date is adjusted, the end date of the survey will be 11 days after the start date.
3. Course survey is published
The course survey is published in the course room in Canvas for students who are registered for the course. If the start date of the survey has not been adjusted, the course survey is published on the Monday after the end date of the course offering.
4. Course survey is answered
Students have 11 days to respond to the survey from the date of publication of the survey. A reminder will be sent to those students who have not responded within a certain time.
5. Course survey closes
The course survey is closed after 11 days and can no longer be answered.
6. Review of free text responses
To filter out possible threats or harassment, it is possible to enable a review/moderation of the free text answers submitted in the course survey, before they are published for teachers to see.
7. Reports are created
Two different reports based on the course survey are created, part one and part two. Please note that the reports are not published and are only visible to teachers at this stage.
- With free text answers. This report is only visible to the course coordinator and other authorised users, such as the head of department or Programme Director. This report with free text answers is never published publicly.
- Without free text answers. This report is linked to the course analysis and is the report that will eventually be published in the course room in Canvas and About course.
8. Course analysis is carried out
The course coordinator makes a course analysis within 7 weeks (49 days) of the course offering's end date.
In the course analysis, it is possible to write both public and private reflections. Private reflections are only visible to the course coordinator and other functions that work with the development of the course, such as Programme Director or the head of department.
9. Report with associated course analysis is published
The report is published in the course room in Canvas.
The report is automatically published 7 weeks (49 days) after the course offering's end date even if the course analysis is missing. If the course analysis is missing, the report only contains results from the course survey, without free text answers. If the course analysis is completed before 7 weeks, it can be published earlier.
