Sick leave

As a manager, it's important to support a healthy workplace. However sick leave will most probably occur in your team and you need to be familiar with the procedures for handling sick leave.

Your responsibility as a manager

As a manager, it is important that you notice when an employee is unwell and take action. Contact HR for support and advice, preferably as early as possible. You are also responsible for ensuring that sick leave is reported in the payroll system KTH-HR. If you notice signs of long-lasting ill-health, you might need to make a rehabilitation plan.

Procedure for sick leave

The employee must report their sick leave to you as their immediate manager on the same day they start to be absent from work. You should then follow up to ensure that the employee reports their sick leave in the payroll system. If the employee is sick for more than 7 calendar days, they must provide a doctor’s certificate, which should be sent to the nearest HR contact. If the sick leave lasts longer than 14 calendar days, HR will report it to the Swedish Social Insurance Agency (Försäkringskassan), which will take over the sickness benefits. If you are listed as an approver in the payroll system for the employee, you can find the reported sick leave there; otherwise, HR can assist with this.
