Register your passport name before a business trip
Here you find instructions on how to register your passport name in KTH-HR before a business trip.
If you are traveling abroad for business, your name in the BIG Travel booking portal must match the name in your passport. Once the update is completed, your traveler profile will be synchronized automatically overnight, and the change will take effect the next business day.
Wait to book your trip until the change has been processed.
You need to register your passport name if:

You are going on a business trip where the tickets must match your passport name.

Your registered name at KTH differs from your passport name.
Update Your Passport Name Step by Step
1. Log in to KTH-HR.
2. Start by clicking on "Employment management" and then “My employment files”
3. Click on the “+” and then “Free Fields”.
4. Click on "New Row."
5. Make sure that the row doesn’t have a due date at the top.
6. Enter “Start date”, “First name passport” and “Last name passport”. Make sure that you enter your name exactly as it appears on your passport.
7. Click on "Case status" and “Finalize” to submit the update. (Please note that the button is unavailable during the payroll process. Please wait 1–3 days and try again.)
8. You will receive an automatic email from Visma HR-plus when the update is completed in KTH-HR. You can ignore this email, as it will not display your newly registered passport name.
9. Your traveler profile in BIG Travel will be synchronized overnight and updated the next day. You can verify the change by logging in and checking your traveler profile in the BIG Travel portal.
