Booking screens

About the Booking screens service which is available to KTH employees and is provided by KTH's IT department.

Description

A booking screen is installed and set up at a meeting room and is used to inform whether the meeting room is available or occupied, as well as which bookings have been made for the nearest period. It is also possible to make new bookings for the meeting room directly via the booking screen.

The information displayed on the booking screen comes from the calendar function in KTH's central email system. If you make a new booking via the booking screen, this will be synchronized and displayed in the calendar in KTH's central email system.

Scope

Different activities are required depending on the local environment where the booking screen is to be installed. The activities are as follows:

  • Procurement of booking screen
  • Coordination of the work for setting up the booking screen
    • mounting the screen on the wall
    • possible wiring of electricity, respectively network (additional costs may apply, see heading "Additional costs")
  • Network configuration
  • Configuration of the booking screen
  • Server configuration (calendar and booking system)
  • Introduction (circa 1 hour) and handover to the business representative
  • Access to quick reference guide on KTH Intranet
  • Maintenance and updating of the booking system and booking screen
  • Support efforts in case of error reporting, troubleshooting and action
  • Management of support and maintenance agreements with third-party suppliers.

Debiting

The cost is charged annually, this takes place annually in November.

Cost amount: SEK 6,000 per screen/year.

Additional costs

Additional activities may be relevant, for example, if the property department needs to be consulted regarding special conditions in the current premises. In addition, it may be necessary to wire electricity and network to the location where the screen will be installed.

Prices for this are approximately SEK 5,000 per meeting room/screen.

All communication with external parties (for example, when wiring of network) will be handled by the IT department on behalf of the business. 

 Order of booking screens

  1. The school will place an order by sending an e-mail to it-support@kth.se
  2. The order should contain the following information:
    - Customer (name, e-mail address and phone number)
    - Cost centre
    - Invoice reference
  3. After these steps, IT-Support will place an order
  4. Upon delivery, IT-Support will unpack, prepare and install the booking screen at the chosen location
  5. When the booking screen is functional and ready for use, IT-Support will provide a quick reference guide.
